Case Study: Public Health School Retires Its Legacy SharePoint Farm and Moves Mission-Critical Applications to Modern Platforms

Migration Delivered on Scope and Schedule

Years of custom applications, workflows and content were locked inside an aging on-premises SharePoint farm, and the school’s IT team didn’t have the bandwidth to move them. Withum took on the hard parts: rebuilding Nintex forms in Power Apps, re-engineering complex SharePoint applications as standalone .NET applications and moving the entire intranet to SharePoint Online with content, metadata and permissions intact.

Executive Summary

Every organization running on legacy platforms eventually faces the same question: how do you move the systems people depend on every day when institutional knowledge is thin and internal teams are already at capacity? Across six parallel workstreams and a 40-week delivery calendar, Withum moved the school’s intranet, team sites and business-critical custom applications off an aging on-premises SharePoint farm and onto modern, supported platforms.

This was not a lift-and-shift. Withum proved every assumption with a test migration and ran the production cutover against gated go/no-go criteria. When internal capacity tightened mid-project, Withum absorbed the additional work through an approved change request, with no added scope and no schedule slip. All six workstreams were delivered, and the school now runs entirely on supported platforms.

The Client

A large school of public health whose faculty, researchers and administrative staff rely on a shared intranet, collaboration sites and a portfolio of custom applications for research administration and subawards, doctoral exam scheduling, institutional review, scholarships and visitor management. These systems support a distributed academic community year-round, so extended downtime was not an option.

The Challenge

The school’s legacy setup had reached the end of the road. The on-premises farm was aging, its forms engine had no forward path and its custom applications were woven into SharePoint itself. Modernization had to happen without interrupting research administration or losing the content, metadata and permissions the community relied on every day.

The Approach and Solution

Withum ran six parallel workstreams under a single project management cadence. Withum’s team did the heavy lifting, while the school’s team kept ownership of every key decision.

Intranet and Team Site Migration

.NET Application Modernization

Integration and New Features

Legacy Form Migration

Low-Code Application Rebuilds

Governed Cutover and Training

The Results, ROI

The school now runs entirely on supported, modern platforms, and the legacy on-premises farm has been retired.

Migration Delivered

Applications and Forms Modernized

Risk-Managed Transition

The cutover cleared all eight verification gates without invoking the rollback plan.

When internal capacity tightened, Withum absorbed the extra work across every active workstream, with no added scope and no schedule change.

The result is more than a new platform. The school’s IT team now owns modern, supportable systems it can rely on without the cost and risk of on-premises infrastructure. It is the outcome Withum delivers for organizations whose legacy systems have outgrown the platforms and people supporting them: a complex migration, actually finished.
