Executive Summary

A Japanese electronics company was looking to upgrade their current intranet to improve collaboration throughout the company. Withum’s Digital Solutions team worked with the company, as well as its SharePoint partner, to create a digital workspace that has successfully increased global communication across the organization.

The Client

A Japanese electronics company that is one of the world’s largest manufacturers of computer printers, and information and imaging related equipment. It employs more than 81,000 employees in 85 countries around the world.

The Challenge

With resources and employees located all over North and South America, the client needed to transform its current intranet into something with cutting edge speed that could be used to collaborate diligently and keep projects on schedule.

Withum needed to provide a solution with on-site guidance to help the client develop its new digital workplace capabilities and migrate everything to Microsoft Office 365. With no definitive active directory in place, Withum also needed to develop a governance plan to ensure site security maintenance within the platform. After migration and implementation, the Withum team set up adoption and training sessions to guide users on how to use their new platform.

As part of the buildout, Withum’s team was required to learn the third-party designer tool. The electronics company used this tool exclusively to design its sites and subsites.

The Approach and Solution

For this project, Withum delivered an updated, collaborative digital workplace that had all the capabilities the client wanted. Working with an additional SharePoint partner, the Withum team developed a SharePoint roadmap that covered site security and the overall architecture of the organization’s collaboration platform. The solutions also included guiding the development of the SharePoint sites and usage reports in Power BI, and additional training for end-users on the many functions Office 365 can offer. The project was so successful that the client expressed a continued interest to engage with Withum on future projects.

The Results

The client’s employees are now able to collaborate successfully on projects, regardless of their location. The new collaboration platform allows users to effectively communicate via enterprise chat and conference solutions, share documents and maintain governance from site to site. The move to Office 365 has dramatically increased productivity and satisfaction for employees.
